- Anyone can do it
- Time
- 2-3 hours, starting before doors open
- Your post
- The welcome / registration table
- Arrive
- 30-45 min before doors
- Split the line
- A-M and N-Z, or pre-reg vs. day-of
- Have ready
- Guest list, scanner, cash box / card reader
Quick start
- 1
Set up two lanes
Divide the table alphabetically (A-M, N-Z) or by pre-registered vs. walk-up. Two short lines beat one long one every time.
- 2
Find them fast
Look them up by last name or scan their confirmation. Keep the question simple: 'Last name?' Then hand off their packet.
- 3
Move name tags down the table
Make name-tag or bib pickup a separate spot a few feet away. This one move keeps the doorway from clogging.
- 4
Be ready for walk-ups
Have a phone or tablet to scan online tickets and a cash box or card reader for day-of registrations and donations.
- 5
Smile and route problems
If someone isn't on the list, don't hold up the line. Send them to the registration lead with a warm 'they'll get you sorted.'
Watch first
Check-in sets the tone for the entire event. A guest's first 30 seconds at your table decides whether they feel welcomed or annoyed, so your warmth matters as much as your speed. The job itself is simple: find the person on the list, hand them what they need, and send them in happy. Everything else is just keeping the line flowing.
- 1
Before doors
Lay out the alphabetized list or device, name tags / bibs / packets, pens, a cash box, and a card reader. Test that the ticket scanner works.
- 2
Open the lanes
Direct arrivals to the right line (A-M / N-Z or pre-reg / walk-up). Keep signage visible so guests self-sort.
- 3
Check in
Confirm the name, scan or check the ticket, hand off the packet or wristband. Keep the exchange short and friendly.
- 4
Hand off the name tag
Point them to the separate name-tag / bib pickup spot so the main table keeps flowing.
- 5
Handle walk-ups
Register day-of guests, take payment, add them to the list, and welcome them in.
