Payments

Manage payment methods, view receipts, and understand billing.

1. Payment Methods

Team Scout securely stores your payment information through Stripe, a leading payment processor used by millions of businesses. Your card details are never stored on Team Scout servers.

  1. Add a card. Go to Profile, then Payment Methods. Tap Add Payment Method and enter your credit or debit card information.
  2. Replace a card. If your card expires or you get a new number, add the new card and remove the old one. Card details live securely with Stripe, so they can't be edited in place.
  3. Remove a card. Tap the remove icon to delete a card. Note: you can't remove your only card while an installment plan is active — add another card first.
  4. Set a default. If you have multiple cards, tap one to set it as your default payment method for future charges.

We accept Visa, Mastercard, American Express, and Discover. All transactions are encrypted and PCI-compliant.

2. Installment Payments

Installment plans let you spread out the cost of registration over several months. Here is how they work:

  • Automatic charges — Your card on file is charged automatically on each scheduled date. No action needed from you.
  • Advance notice — You will receive a reminder 7 days, 3 days, and 1 day before each upcoming charge.
  • View your schedule — Go to Profile, then My Payments to see all upcoming and past installment charges.

Each payment has a receipt showing what was charged and how it was paid; your full schedule, including what is left and when it is due, is on My Payments. If a card payment is declined, we retry it automatically over the next several days. If it still doesn't go through, you get an email with a secure link to update your payment method. Fixing a failed payment never costs extra — a late fee only comes into play if a balance stays overdue and your organization has a late-fee policy (see Late Payments below).

3. Payment Receipts

Team Scout automatically sends you a receipt for every payment:

  • Email receipts — Sent immediately after each successful charge. Check your inbox (and spam folder) for receipts from Team Scout.
  • In-app history — Go to Profile, then My Payments to see a complete list of all payments, dates, and amounts.
  • Downloadable — Tap any payment in your history to view the full receipt with organization name, amount, date, and payment method used.

Receipts are useful for tax purposes, employer reimbursement, or expense tracking. If you need a receipt re-sent, contact your team admin.

4. Late Payments

If an installment payment fails or is not made by the due date, here is what happens:

  1. Automatic retries, then an email. A declined card is retried automatically over the next several days. If the retries don't go through, you receive an email with a secure link to add a working card or bank account in about two minutes — no login needed.
  2. Your admin follows up. If a balance stays unpaid, your team admin is looped in to work it out with you directly.
  3. Late fees, only if your organization uses them. Team Scout never adds late fees on its own. If your organization has set a late-fee policy, the fee is applied once per overdue installment after the organization's grace period, and you receive an email with a secure pay link — no login needed. If your organization has not set one, there is no late fee.

If you are experiencing financial hardship, contact your team admin as soon as possible. Many organizations can offer accommodations or adjusted payment schedules.

5. Refunds

Refund policies are determined by each organization individually. Team Scout processes the refund, but the decision is made by your team admin. Here is what you should know:

  • Contact your admin first. If you need a refund, reach out to your coach or team admin directly. They will initiate the refund through Team Scout.
  • Processing time. Once approved, refunds typically appear on your statement within 5 to 10 business days depending on your bank.
  • Partial refunds. Some organizations offer partial refunds based on timing (before the season starts vs. mid-season).
  • Refund to original method. Refunds are returned to the original payment method used for the charge.

Check your organization's refund policy in the registration form details or ask your admin. This policy is usually outlined in the waivers you signed during registration.

6. If a Payment Doesn't Go Through

Sometimes a payment doesn't go through — a card is declined or expired, or a bank account doesn't have the funds available when the payment settles. It happens, and it's easy to fix.

  • Cards are checked instantly, so you'll know at checkout if a card is declined — just try another card.
  • Bank (ACH) payments take a few business days to clear, so occasionally one is accepted and then returned later. If that happens, you'll get an email from your team.

That email contains a secure link to add a new payment method. It takes about two minutes, no login needed — add a card or bank account, and the amount that didn't go through is collected. Your installment schedule then picks up automatically from there.

Fixing a failed payment never costs extra. A late fee applies only if your organization has set a late-fee policy and the balance stays overdue past its grace period — it is charged once per overdue installment, with an emailed pay link (see Late Payments above).
